Taken from the Nighthawks Card Agreement signed at the time your Nighthawks Card was issued or acknowledged with the terms when you submitted a photo online:

This card is your official Campus ID and must be presented to any school representative upon request. There is a $25.00 replacement fee. The cardholder agrees to abide by all rules, regulations, policies, and procedures as specified by ¹ú²ú×ÔÅÄ and Card Services (a complete listing is available on our website). The Nighthawks photo may be used for official campus roster photos or other institutional identification purposes. Future changes to the Terms and Conditions by ¹ú²ú×ÔÅÄ will apply to all cards in circulation at that time and will supersede past Terms and Conditions.

I understand that my Nighthawks Card is for my use only and cannot be loaned to anyone for any purpose. Failure to abide by this policy may result in disciplinary action by the Dean of Students or Human Resources.

1. The Nighthawks Card is your identification for the University. The Nighthawks Card is the property of University of North Georgia, is issued to the Cardholder only, and is non-transferable. In order to obtain a Nighthawks Card, you must provide a valid State or Federal Photo ID.
2. Use of the Nighthawks Card may be revoked at University’s sole discretion for violation of University policies and procedures. Faculty and Staff must relinquish the card upon separation from the University. Access privileges of the Nighthawks Card will be deactivated when student, faculty or staff status is terminated.
3. The Nighthawks Card must be presented upon request at the time of use to obtain services or to establish official University status.
4. The Nighthawks Card is to be used only by the person to whom it is issued. Only the cardholder can present the Nighthawks Card for debit and other privileges. The Nighthawks Card will be confiscated if presented by someone other than the Cardholder.
5. Additional identification or signature may be required for certain purposes.
6. Except as provided below, you are responsible for the usage of your card.

1. The Campus Cash account is an optional account of pre-deposited funds accessed by the cardholder for products and services on campus. Funds can only be withdrawn from the card upon withdrawal from the University or upon graduation. (See Closing Account/Issuing Refunds of Account Balance).
2. Cardholder’s Campus Cash account will be activated automatically upon receipt of initial deposit. Activation of the Campus Cash account signifies agreement with these Terms and Conditions.
3. Deposits must be made by credit cards, cash or check. Credit card deposits may be made in-person or online. There is no limit on the frequency of credit cards, cash, or check deposits. Funds are immediately available after deposits.
   
   1. In the event a cardholder’s deposit check is returned due to insufficient funds: $15.00 service fee up to $300.00. Any amount over $300.00 will be charged 5 % of the check.
   2. The fee will be assessed by the University’s Bursar's Office, and the cardholder’s Campus Cash account and remaining funds will be suspended until the amount of the returned check and the service fee have been paid. ¹ú²ú×ÔÅÄ Card Services complies with the University’s returned check policy.
4. Pre-deposited funds shall be applied toward amounts debited from the cardholder's Campus Cash account for goods and services obtained at points of sale. There is no daily limit to the number or amounts of purchases, provided funds are available on the Campus Cash account. The cardholder understands and agrees that the Campus Cash Account is not a credit card, nor can it be used to obtain cash from the account under any circumstances. 
5. It is the responsibility of the cardholder to keep track of spending in the Campus Cash account program.
6. If attempts are made to use this account when there are not enough funds, the transaction will not be approved.
7. If the cardholder’s Campus Cash account balance goes below zero as a result of a system problem or one of its readers being offline, the cardholder remains responsible for re-payment of any negative balance.  In the event of a negative balance, the cardholder will be contacted in writing either by mail or by email stating the negative balance amount and other pertinent information. A statement showing the transaction(s) and location(s) will be provided upon request.  All negative balances must be reconciled at ¹ú²ú×ÔÅÄ Card Services. A hold will be placed on the student’s account until balance is paid in full.
8. Merchandise purchased with the ¹ú²ú×ÔÅÄ Card will be accepted for return according to the refund policy in force where the products and/or services were purchased. If the return meets the unit’s return policies, a credit will be issued to the cardholder’s Campus Cash account. Cash refunds will not be made for returned merchandise that was purchased with the Campus Cash funds.
9. There is no fee for using your Campus Cash account.
10. The Campus Cash account program reserves the right to make appropriate adjustments or corrections to the amounts assigned to each card. Any adjustments or corrections will be fully disclosed in the cardholder's transaction summary

The University's Dahlonega Campus offers Faculty/Staff, Student Block and Residential Meal Plans:

1. Faculty/Staff and Student Block Meal Plans can be purchased  or in the Dahlonega Card Services Office. These plans are a set number of meals. These plans can be added at anytime during the semester and can only be used on the Dahlonega Campus.
2. Residential students living in traditional and suite-style residence halls, identified by the Office of Residence Life, will be required to have one of the five available Meal Plans, which will be invoiced on the student’s account. Students in Owen Hall, an apartment-style residence hall, are not required to have a Meal Plan.  
3. Meal Plan/Dining Dollars Expiration Dates:
   • Faculty/Staff Meal Plans are active until the end of the Academic Year (June 30). Any unused meals after June 30 will be forfeited.
   • Student Block and Residential Meal Plans expire at the end of each semester.
   • Beginning fall semester 2023, Dining Dollars will roll over from fall to spring semester, unless a Dining Dollars Refund Request (PDF) has been submitted at the end of the fall semester. Dining Dollars will not be refunded mid semester unless special approval has been granted to allow removal of the complete Meal Plan and remaining Dining Dollars. At the end of the spring semester, Dining Dollars balances totaling $10.00 or more will be applied to any balance owed on the student's account. The remaining balance is then refunded via the student's refund preference. Balances less than $10.00 will be forfeited. 
4. Residential Students Meal Plan Changes:
   • Changes to fall and spring semester Meal Plans should be made by submitting the Change Meal Plan Form request through the student's Banner account. Students can begin submitting Meal Plan forms via Banner on the first day that invoices are available for that semester and have until the last day of full session add/drop to make any change requests. Meal Plans will default to the All Access Plus (also known as 21MP) each semester, so changes will need to be submitted every semester. This form can only be submitted once per semester through Banner. If a student decides to change their Meal Plan back or they want to increase their Meal Plan, they must email the Business Office directly at business.office@ung.edu. If the student is seeking a further plan reduction, they will need to contact Student Accessibility Services before any reductions are considered.
     • Note: In the event that a student has a Meal Plan with Dining Dollars, uses the Dining Dollars and then switches to a Meal Plan without Dining Dollars, the student will owe for any used Dining Dollars. If a balance is owed after switching Meal Plans, a hold may be placed on the student's account until the balance has been paid in full.
     • Balances will need to be paid in full at the Dahlonega Campus Card Services Office, during normal business hours.
5. Refunds of Meal Plans:
   • Block Meal Plans will be refunded only if the student has purchased a Block Meal Plan and withdrawn from the University or if the student has changed status from Non-Resident to Resident student (excluding Owen Hall). Any unused meals and Dining Dollars balances of $10.00 or more will be refunded to the student. The student must complete and submit a  to the Card Services Office to initiate the process. The Card Services Office will send the information to the University's Accounts Payable for processing. Allow up to eight weeks for processing.
   • Residential Students will only be refunded if they withdraw or change status from Resident to Non-Resident student.  Changes will need to be made through the student account. The Office of Residence Life or Commandant's Office will determine prorated refund. Only Dining Dollars $10.00 and over will qualify for refunds.
   • Exceptions regarding refunds must be approved by Executive Director of Auxiliary Services.
6. Resident Cadet Plans:
   • Due to the rigors of military training, all Resident Cadets shall be assessed the , which will be reflected on the Cadet's Banner account.
     • In limited circumstances, and as approved by Office of Assistant Commandant, a Resident Cadet may reduce their meal plan to the .
       • Based on the rigorous physical demands of the ¹ú²ú×ÔÅÄ and Military Science curriculum, the University does not recommend reducing Meal Plans to less than 10 meals per week.
       • To ensure healthy and convenient eating habits, Resident Cadets are encouraged and expected to consume at least 3 meals per day in the campus Dining Hall. The facility offers many nutritional options to meet the dietary needs of each Cadet.
     • A Meal Plan accommodation for documented medical conditions may be sought via Student Accessibility Services.
   • Cadets who reside off-campus are not required to purchase a Meal Plan.

Definitions

1. Dining Dollars: A declining balance that comes with most student Meal Plans offered, at the Dahlonega Campus. The amount of Dining Dollar balances varies based off the Meal Plan purchased. Dining Dollars can only be used at Aramark retail locations and are only offered during the spring and fall semesters. Dining Dollars is a fixed amount and additional dining funds cannot be added without the purchase of a new Meal Plan.
2. Meal Plan: Prepaid account individuals can use to purchase meals/food items on the Dahlonega Campus. Includes dining locations across the campus with a range of menus and offerings. Some plans also include Dining Dollars.
3. Resident Cadet: Cadet living on the University campus.

1. You may request a receipt at the time of purchase. It is the cardholder’s responsibility to ensure the receipt is correct.
2. Transaction statements can be generated upon request of the cardholder. These statements will be generated at ¹ú²ú×ÔÅÄ Card Services or online.

If your card is lost or stolen, cardholders need to deactivate the card online. If later you reactivate your card online, you must contact Card Services to regain building access. For a Replacement Card, please visit Card Services. There is a $25.00 replacement fee.

Once a new card is issued, prior cards cannot be re-activated.

Replacing Damaged Cards

No charge will be imposed for the replacement of a card that ceases to function through normal, daily usage. Characteristics not indicating normal usage are broken edges or corners, non-authorized whole punches, and vertical breakage/cracking.

1. A refund for the remaining campus cash balance will be applied for at ¹ú²ú×ÔÅÄ Card Services office by completing a Refund Request Form. No refunds will be issued for account balances less than $10.00 in value. Refunds will be issued by check from the University’s Business Office within eight weeks of request. 
   1. Students account balances may be refunded upon withdrawal from classes or graduation.
   2. Faculty/staff or visitors account balances may be refunded at any time.
2. If you are eligible for a refund, please download and submit the Campus Cash Refund Request Form to ¹ú²ú×ÔÅÄ Card Services.
3. Campus Cash cards remain active as long as there is account activity within a 12-month time period; the balance will remain available to spend at participating merchants.
   1. Limited retail locations will be open between mid-May through mid-August due to summer closures; the bookstore and vending options will remain open in the summer.
4. ¹ú²ú×ÔÅÄ Card Services reserves the right to close any account that is inactive for 12 months or more.  Card Services will attempt to contact any inactive account holder with balances $10.00 and over. Any balances less than $10.00 shall be forfeited. For all other inactive account holders, if refund request has not been submitted to Card Services within 30 days of contact, the remaining balance shall be sent to the Business Office for escheatment processing in accordance with Georgia law.

1. DISCLOSURE OF ACCOUNT INFORMATION TO THIRD PARTIES. Information about the Cardholder’s Account will be disclosed to third parties only for the following reasons:
   1. In order to complete a transaction;
   2. To comply with a court order or applicable laws;
   3. In conjunction with all other cardholder accounts in the aggregate but not specific in regard to any individual’s account.
2. Cardholder photos may be used for on-campus identification purposes such as class rosters or Public Safety needs. Photos will be shared with non-University of North Georgia entities only:
   1. To comply with a court order or applicable laws;
   2. If the cardholder gives ¹ú²ú×ÔÅÄ Card Services written permission.

1. If there is an error on a receipt or activity statement, or if the Cardholder would like more information about a specific transaction, ¹ú²ú×ÔÅÄ Card Services may be contacted by telephone or by mail within sixty (60) days of noticing the error. In the event of verbal notifications, ¹ú²ú×ÔÅÄ Card Services may require that the Cardholder submit a written notification within ten (10) business days.
2. When making a request for an adjustment to the Account, the Cardholder must furnish the following information:
   1. The Cardholder’s name and Account number;
   2. a description of the transaction in question and explanation of the discrepancy; and 
   3. the dollar amount of the transaction in question.
3. ¹ú²ú×ÔÅÄ Card Services will investigate the Cardholder’s request and provide a written decision to the Cardholder within ten (10) business days. If an error is found, ¹ú²ú×ÔÅÄ Card Services will make the necessary adjustments to the Cardholder’s Account. If no error is found, ¹ú²ú×ÔÅÄ Card Services will provide the Cardholder with a written explanation within three (3) business days of the conclusion of the investigation. The cardholder may request copies of the document(s) used to conduct the investigation.

1. Future changes to the Terms and Conditions by ¹ú²ú×ÔÅÄ will apply to all cards in circulation and in use at that time and will supersede the Terms and Conditions in effect at the time the card was acquitted and activated.
2. These Terms and Conditions are effective immediately and shall remain in force until written notification is received. University of North Georgia will provide written notice via email at least thirty (30) days before effective date of a change that might cause increased fees, charges or liabilities for the cardholder. Prior notice need not be given where an immediate change in an item and/or condition is necessary to maintain or restore security of the system or its accounts.

This agreement shall be governed by and construed in accordance with the Laws of the State of Georgia.

1. Only the latest card is valid. Access to University facilities may be denied if your account is frozen by the University for Administrative Reasons, your account is deactivated, or if your card’s magnetic stripe is damaged and will not scan.
2. ¹ú²ú×ÔÅÄ is not liable for any charges made for lost or stolen cards that are not reported in accordance with this policy.
3. ¹ú²ú×ÔÅÄ accepts no liability for excessive charges or less than satisfactory services provided by purveyors using the ¹ú²ú×ÔÅÄ Card System.
